HOW TO FILL LEARNING AGREEMENT (LA)?
The Learning Agreement, which is the MOST IMPORTANT document to be sent to the host university during application and for the equivalence of your courses after you return to AYBU, is prepared in a single copy on the computer, taking into account the following points, unless otherwise requested from the counterparty.
1. Learning Agreement is one of the most important documents of the Erasmus+ Program. It is prepared before going abroad. The student who does not send the LA form to the host university in full and on time will not be given an acceptance certificate. A student who does not receive an acceptance certificate from the host university CANNOT apply for a visa.
2. The first page of LA has the heading “Before the Mobility” and the first table contains student information. Some boxes contain links where you can access information that needs to be written in the relevant box.
3. Table A, which is in the second place, contains the information of the courses that the student will take abroad. This field should be filled carefully, especially the ECTS credits of the courses and the total of ECTS.
4. Table B, which is in the third place, is the table in which the courses that the student will be deemed to have taken in AYBU in return for the courses taken abroad will be written. In this table, the codes, names, ECTS credits of the courses to be counted at AYBU and the ECTS credit sum under the table should be prepared very carefully and carefully.
5. ATTENTION: A student must take at least 30 ECTS courses in Table B in order to participate in the Erasmus+ program. The total credits of the courses in Table A must also be 30 ECTS. Otherwise, missing credits may appear in the student's graduation template and may therefore extend his schooling.
6. The student chooses the courses related to his/her department from the list of courses on the e-mail sent to him/her after the nomination (nomination) and on the website of the university he/she will attend. (If the student cannot reach the list of courses to be opened at the host university, he can request a list of courses by sending a polite e-mail to the host university.)
7. The student who prepares the course list prepares the LA form under the supervision of the department coordinator. (Master and PhD students get the approval and signature of the thesis advisor as well as the Department Coordinator. These students should use the relevant LA form on our website)
8. While the courses are being matched, a number is placed on each of them to show which course is matched with which course. In some cases, a course may be paired with more than one course. In this case, the same number can be used for more than one course.
9. The student signs the signature section reserved for him at the bottom of the first page and submits it to the department coordinator for signature. (SIGNATURE LINES SHOULD NEVER OVERLOAD TO THE SECOND PAGE. YOU CAN MAKE SMALL PLAYING IN THE TEXT CHARACTERS SO THAT THE LINES DO NOT OVERFLOW TO THE SECOND PAGE)
10. The LA form signed by the student himself and the department coordinator is brought to the International Relations Unit to be sent to the host university along with other application documents.
11. The student is responsible for following these processes.
HOW TO FILL DURING MOBILITY AFTER GONE?
You may need to add-delete when you arrive at the university you attend within the scope of the Erasmus+ program. If there is no change in the courses selected in Before mobility, you do NOT need to fill out the During the Mobility form. Add-delete can be done when the name, content and credits of the courses you take change, the course you take is not offered at the opposite institution, or there is a conflict in the courses. In this case, the "During the Mobility" section, which is the second page of the Learning Agreement (LA) form, is used. The following method is used when filling out this section:
1. The student first communicates with the department coordinator at both the host institution and the AYBU regarding the course change and receives a preliminary approval for the course change.
2. During the Mobility, all the lessons in Table A before mobility are written in Table A2, which is the first table of the form.
3. The number of the course to be deleted, showing which course is matched, and the credit of the relevant course are deleted and marked as "Deleted" in the table. (In the Reason for change section, the number of one of the reasons in the table of reasons for change in the footnotes of the document is written)
4. The lesson taken is added to the table instead of the deleted lesson. It is marked as "Added". The code and credit of the course are entered carefully and correctly.
5. The total credits of the courses in the list must be recalculated.
6. The second table of the During the Mobility form, Table B2, shows the courses taken at AYBU. In case of changes in these courses, the above method is also applied in this table.
7. EVEN IF THERE ARE NO changes in the courses taken at AYBU, the courses in Table B are written in the same way in the “Before the Mobility” form. However, there is no marking as "deleted" or "added".
8. After the signature sections at the bottom of the form are filled in and signed by the relevant places, the signed form is scanned and sent to the e-mail address of the relevant erasmus office without wasting time. 9. The course change form must be completed within 4-7 weeks and sent to the International Relations Unit.
10. It should be noted that there will be cuts in the grants of students who make a course change, do not prepare the mobility form during, prepare it but do not send it on time or at all, and for any reason do not match the courses in the before mobility form and the transcript from the opposite institution!
HOW TO FILL AFTER MOBILITY AFTER RETURNING?
The After mobility form is the last page of the Learning Agreement (LA) and is a basic document for course equivalency. The course equivalence process of the student who does not bring the after mobility form after returning cannot be made and the remaining grant cannot be paid. The following should be considered when filling out the After mobility form.
1. In the After Mobility form, the courses in the transcript taken from the institution are written against Table C. While numbering the courses, the students who have made add-delete use the "during the mobility" form, and the students who have not made any course changes use the "before the mobility" as a guide.
2. Course credits and grades are written as stated in the transcript.
3. The courses to be counted at AYBU are listed in Table D.
4. Since the After mobility form is the main document for the course equivalence and processing into the student system, it is brought to the International Relations Unit with the relevant parts signed (wet signature).
